Volunteer Job Descriptions

We need our family volunteers to make the Stingray season happen!

Announcer

  • Master of Ceremonies during the duration of the meet

Awards

Reports to : Head Awards Amanda Broccolo and Victoria Williams

  • Heat Ribbons: Hand out heat winner ribbons for each race
  • Ribbon Stickers: Place result stickers on top of finisher ribbons and file ribbons in Awards folder

Cleanup Crew

  • During the meet: Spot check the bathrooms and trash cans, replenish and empty as needed, reports to Anuva Bonzek
  • After the meet: Return pool and grounds to pre-meet state, reports to Cleanup Coordinator Lauren Sanders

Computer Assistant

Reports to: Head Computers Darren Blais

  • Input times and DQ slips into the computer
  • Various printing: results, ribbon labels, DQ sheets, timer sheets, extra heat sheets for day of meet

Concessions

Reports to: Head Concessions Misty Whited

  • Grill: cook meats and prep items to sell at concessions
  • Stand: sell pre-packaged and freshly cooked food
  • Evening ice pickup
  • Morning ice/taco pickup
  • Oversee coolers and hospitality waters

Gate Attendant

Reports to: Volunteer Coordinator Anuva Bonzek

  • Monitor one of 3 gate locations: front entrance, back entrance by the diving boards, and basketball court entrance

Ready Bench

Reports to: Head Ready Bench Kris Power

  • Guide swimmers from zookeepers to the Ready Benches
  • Make sure swimmers are sorted by heat/lane
  • Seat the swimmers at their benches
  • Ensure swimmers move promptly from the ready bench to their assigned pool lanes
  • Need hard copy of the heat sheets

Runner

Reports to: Head Stroke & Turn Erin Scarth

  • Take completed timer sheets from the timers and DQ slips from S& T Judges to Computers

Scribe

Reports to: Head Stroke & Turn Erin Scarth

  • Record swimmer information on the DQ slip at the direction of the Stroke and Turn Judges when a rule infraction is observed

Setup Crew

Reports to: Setup Coordinator Lauren Sanders

  • Set up for meets the night before or the morning of meets.
  • Set up tents, chairs, Ready Bench, Vanna station, and Concessions

Spirit Item Sales

Reports to: Head Spirit Items Denisse Hudock and Michael Sanchez

  • Sell Stingray merch
  • Distribute swimmer t-shirts and orders

Starter

  • Announce event/heat for each race

Stroke & Turn Judge

Reports to: Head Stroke & Turn Erin Scarth

  • Watch swimmer strokes and turns for compliance to regulations
  • Must be CCSL trained (link to training dates)
  • Must have required number for meet to begin
  • Need hard copy of the heat sheets

Timer

Reports to: Head Timers Dawn Mitchell and Dave Clark

  • Use a provided stopwatch to time each swimmer’s event
  • Verify name of swimmer with the name on the card where time will be recorded

Vanna

Reports to: Volunteer Coordinator Anuva Bonzek

  • Update the event/heat on the board for each race

Zookeeper

Reports to: Head Zookeeper Jessica Pratt

  • Keep assigned group of swimmers together in designated area
  • Mark swimmers up
  • Organize and lead swimmers to the ready bench
  • Remain with your zoo until all swimmers have completed their races
  • Need a copy of the heat sheets and Sharpie

Head Volunteer Job Descriptions

Head Awards Coordinator

Amanda Broccolo & Victoria Williams

  • Maintains and label the swimmers folders
  • Places stickers on Award Ribbons at meets
  • Gives the heat ribbons to the volunteers for each shift.
  • Prepares the list of names for the trophies and drops that information off at Crown Trophy.
  • Picks up the trophies and organizes before awards ceremony

Clean Up Coordinator

Lauren Sanders

  • Coordinates Clean Up Crew volunteers to bring pool back to pre-meet state

Coaches Meal Coordinator

Karen Blais

Organizes daily meals during practices for the coaches by ensuring:

  • Sign-up slots are filled for meals
  • Meals are delivered to practices in a timely manner

Head Computers

Darren Blais

  • Serves as the central data hub for the swim meet
  • Records race times and enters results into the meet system
  • Processes disqualifications (DQs) and updates results accordingly
  • Shares race results and prints ribbon labels for swimmers
  • Coordinates with the opposing team prior to the meet to build heat sheets
  • Manages the computer table on meet day to keep results and timing operations running smoothly

Head Concessions

Misty & James Whited

  • Coordinates food/ice purchases for Concessions at home meets
  • Coordinates “food chefs” and grill to cook meats at home meets
  • Coordinates ice and coolers for home meets

League Rep

Kraig Bonzek

Meets with all teams of the Capital City Summer League throughout the year to collaborate on policies, swim meet schedules, and CHAMPS logistics

Meet Director

Joe Broccolo

  • Plans and coordinates the meet in accordance with league bylaws and rules
  • Oversees meet operations onsite, helping keep the meet running smoothly and on schedule
  • Troubleshoots logistical issues as they arise during the meet
  • Serves as the main point of contact between coaches, officials, and volunteers to ensure clear communication and compliance

Head Ready Bench

Kris Power

  • Trains volunteers and assign them duties / location
  • Briefs the visiting volunteers on the Stingray meet process before the meet (which tent to send the swimmers to, how to seat the swimmers back-to-back...)
  • Coordinates with zookeepers to ensure the swimmers arrive on time for their heats
  • The vocal lead under the tent, calling on swimmers to rotate benches or head to their lanes
  • Acts as lead in walking the swimmers to the pool
  • Helps break down the Ready Bench tents after the meet

Set Up Coordinator

Lauren Sanders

  • Coordinates Set Up volunteers
  • Coordinates materials and equipment the evening before and the morning of for swim meet set up

Special Events Coordinator

Brittany Luna

  • Coordinates the Kickoff Party, Pep Rally, and Carb-Up Dinner with the Special Events Committee
  • Oversees decorations and theme setup for home swim meets

Head Spirit Items

Denisse Hudock & Michael Sanchez

  • Manage the life cycle of team gear
  • Select the design of team suits
  • Connect with vendors and ensure timely delivery of orders
  • Manage spirit gear inventory
  • Set up spirit item table and distribute swimmer t-shirts
  • Sell spirit items at kickoff party and all home meets
  • Ensure that spirit gear offerings and pricing are current on the website
  • Primary point of contact for parent questions regarding apparel needs

Head Stroke & Turn

Erin Scarth

  • Coordinates Stroke & Turn Judges for meets
  • Coordinates Scribes for each S&T pair

Head Timer

Dawn Mitchell & Dave Clark

  • Coordinates and communicates with the Computers
  • Organizes timing equipment at each lane
  • Leads the timer meeting and explain procedures for starts, finishes, and recording times.
  • Starts two backup manual watches for every race in case a timer misses a start.
  • Monitors and assists timers
  • Ensures backstroke safety by reminding timers to use kickboards to protect swimmers’ heads.

Volunteer Coordinator

Anuva Bonzek

  • Works with the board to fulfill all volunteer needs for the team
  • Responsible for filling all volunteer spots for swim meets
  • Collaborates with Head Computers and Opposing Team VC in the days leading up to meets
  • Prints out name tags for all Stingray swim meet volunteers

Head Zookeeper

Jessica Pratt

  • Point of contact for parents needing to report meet absences
  • Coordinates the timely lineup of each age group before they proceed to the ready benches
  • Ensures that all individuals for relay teams are present
